Flow Sharing

Overview

Flow sharing allows you to share your workflows with others through secure, time-limited links. Each share link can be configured with expiration dates and view limits to control access to your workflow.

To share a flow:

  1. Open the flow you want to share

  2. Navigate to the Sharing tab

  3. Click Create Share Link

  4. Configure the share settings:

    • Expiration Date: Set when the link expires (1-90 days)
    • View Limit: Optionally limit the number of times the link can be viewed
    • Description: Add a note about who the link is for or its purpose
  5. Click Create to generate the share link

All active share links for a flow are displayed in the Sharing tab. For each link, you can see:

  • Creation date
  • Expiration date
  • Number of views (if view limit is set)
  • Description
  • Current status (active or expired)

Click the Copy Link button next to any active share link to copy it to your clipboard. You can then paste it in an email, message, or document.

Revoking Access

To revoke access before the expiration date:

  1. Find the share link you want to revoke
  2. Click the Delete or Revoke button
  3. Confirm the action

The link will immediately stop working, even if it hasn't expired yet.

  • Maximum links per flow: 5 share links
  • Expiration range: 1-90 days from creation
  • View limits: Optional, can be set to any positive number

What Recipients See

When someone opens a share link, they see:

  • A read-only version of your flow
  • The flow title and description
  • All workflow steps and their details (based on what you've included)
  • The flow document view

Recipients cannot:

  • Edit the flow
  • Create new versions
  • Access your other flows
  • See who created the flow (unless included in the flow metadata)

Security and Privacy

  • Share links are unique, randomly generated URLs
  • Links expire automatically after the set time period
  • You can revoke links at any time
  • View limits help prevent over-sharing

What's Shared

When you share a flow, the following information is included:

  • Flow title and description
  • All steps and their content
  • Phase markers and groupings
  • Notes and descriptions (if present)
  • Attachments and reference links (if added to steps)

What's Not Shared

  • Your account information
  • Other flows in your workspace
  • Edit history or audit logs
  • Comments or internal notes (if marked as internal)

Best Practices

Choose Appropriate Expiration Times

  • Short-term reviews: 1-7 days for quick feedback
  • Project duration: 30-60 days for ongoing projects
  • Long-term reference: 60-90 days for documentation

Use Descriptive Names

Add clear descriptions to each share link so you can identify:

  • Who the link was created for
  • What purpose it serves
  • When it was requested

Regularly review your active share links and revoke any that are no longer needed.

Set View Limits for Sensitive Content

If sharing sensitive workflows, consider setting view limits to prevent excessive sharing.

Common Questions

Q: Can I extend the expiration date of an existing share link?
A: Currently, you need to create a new share link with a longer expiration period and revoke the old one.

Q: Can I see who has viewed a shared link?
A: Currently, you can only see the number of views, not individual viewer information.

Q: What happens if I delete a flow that has active share links?
A: All share links for that flow will stop working immediately.

Q: Can I share a flow with people who don't have a Cambigo account?
A: Yes, anyone with the share link can view the flow in read-only mode, even without an account.

Q: Is there a limit to how many times someone can view a share link?
A: Only if you set a view limit when creating the link. Otherwise, the link can be viewed unlimited times until it expires.
