Flags and Dispositions

Flags and dispositions help you track the status and attention needs of steps in your workflow.

Overview

Flags mark steps that need attention or have special considerations.
Dispositions indicate the maturity or completion status of a step.

Together, they provide visual indicators and help you manage workflow development and review.

Flags

Flags highlight steps that require action or awareness.

Available Flags

  • Review [R]: Step needs review or verification
  • New [N]: Newly added step or feature
  • Concern: Issue or problem identified
  • Change: Step expected to change
  • Remove: Step marked for removal
  • Resolved: Previously flagged issue is resolved

Adding Flags

To flag a step:

  1. Click on the step to open the editor
  2. Go to the Flags tab or section
  3. Check the flags that apply
  4. Optionally add context in the "Flags Context" field
  5. Save the step

Flag Context

The "Flags Context" field lets you explain:

  • Why the flag was applied
  • What needs to be reviewed
  • Who should address it
  • When it should be resolved

Bulk Adding Flags

When using Bulk Add Steps, you can add flags inline:

[R] Verify patient insurance
[N] Send SMS confirmation
[R][N] Implement new security check

Supported flags in bulk add: [R] for Review and [N] for New.

Dispositions

Dispositions track the development status of each step.

Available Dispositions

  • Draft: Initial capture, not yet discussed
  • Discussed: Reviewed with stakeholders
  • Confirmed: Validated and approved
  • Complete: Fully documented and finalized
  • Final: No further changes expected

Adding Dispositions

To set a disposition:

  1. Open the step editor
  2. Go to the Flags tab (dispositions are in the same section)
  3. Check the appropriate disposition(s)
  4. Save the step

Multiple Dispositions

A step can have multiple dispositions reflecting its journey:

  • A step might be both "Discussed" and "Confirmed"
  • Or "Confirmed" and "Complete"

Typically, you'd use the highest applicable status, but multiple selections are allowed.

Visual Indicators

In Table View

Steps with flags or dispositions show:

  • Flag badges: Colored indicators for each flag
  • Disposition badges: Status indicators
  • Color coding: Different colors for different types

In Document View

Flags and dispositions appear:

  • As badges or labels near the step title
  • With full descriptions (if context is provided)
  • Can be shown/hidden using document filters

Completion Indicator

Steps with certain flags or dispositions contribute to the completion indicator, helping you track workflow maturity.

Using Flags Effectively

Review Workflow

Use the Review flag to mark steps for:

  1. First Review: Initial capture needs verification
  2. Peer Review: Technical review by team members
  3. Stakeholder Review: Business owner approval needed
  4. Final Review: Pre-publication check

Tracking Changes

Combine flags to track development:

  • New + Draft: Recently captured, not reviewed
  • Change + Review: Existing step needs modification
  • Concern + Review: Problem identified, needs attention
  • Resolved: Previously flagged issue has been addressed

Managing Removals

The Remove flag helps manage deletions:

  1. Flag steps for removal (don't delete immediately)
  2. Review flagged steps with stakeholders
  3. Confirm removals
  4. Delete steps after confirmation

Using Dispositions Effectively

Workflow Maturity

Track your workflow's development:

  1. Initial Capture → Draft
  2. Team Discussion → Discussed
  3. Stakeholder Approval → Confirmed
  4. Full Documentation → Complete
  5. Published/Locked → Final

Progress Tracking

Filter or sort by disposition to:

  • See which steps are still in draft
  • Identify what needs discussion
  • Track completion percentage
  • Find steps ready for final review

Quality Gates

Use dispositions as quality gates:

  • No Draft steps before stakeholder presentation
  • All Discussed before moving to implementation
  • All Confirmed before documenting in detail
  • All Complete before publishing

Filtering by Flags and Dispositions

In Table View

  • Filter to show only flagged steps
  • Group by disposition
  • Sort by status

In Document View

Use filters to:

  • Show/hide flag badges
  • Include/exclude disposition indicators
  • Display only steps with specific flags
  • Filter by maturity level

Best Practices

Flag Hygiene

  • Review Regularly: Check and update flags weekly
  • Remove When Resolved: Clear flags once addressed
  • Add Context: Always explain why you flagged something
  • Use Sparingly: Too many flags dilute their value

Disposition Consistency

  • Agree on Definitions: Team should align on what each status means
  • Update Promptly: Change dispositions as work progresses
  • Don't Skip Steps: Follow your maturity progression
  • Document Criteria: Define what qualifies for each disposition

Team Collaboration

  • Flag for Others: Use Review flag to assign work
  • Add Context for Handoffs: Explain what needs to be done
  • Track Discussions: Move to Discussed after meetings
  • Confirm Agreements: Set Confirmed after approval

Common Workflows

Incremental Documentation

  1. Capture all steps as Draft
  2. Discuss with team, mark as Discussed
  3. Get stakeholder confirmation, mark as Confirmed
  4. Add full details, mark as Complete
  5. Final review, mark as Final

Change Management

  1. Flag existing steps with Change
  2. Add Review flag if verification needed
  3. Make modifications
  4. Clear flags when complete
  5. Update disposition if needed

Quality Review

  1. Filter for Review flags
  2. Verify each flagged step
  3. Add corrections or context
  4. Remove Review flag
  5. Update disposition to Confirmed or Complete
